Introduction

A time slot tells you when someone will arrive. It may tell you very little about why they are coming.

For a first coaching session, a short description of the customer’s goal can make preparation more useful. For a service visit, knowing what needs attention helps the owner understand the request. PAKA brings the conversation and booking choices into one experience, helping customers move from describing what they need to choosing a suitable session. Carry the important context forward so they do not have to begin the same conversation again.

Ask the question that changes your preparation

Choose one question that helps you prepare for this particular service. For a coaching session, try “What would you like to work on?” For a repair visit, try “What needs attention, and what have you noticed?”

Make the answer easy to give. A sentence or two is often enough for an initial request. Ask follow-up questions only when the answer affects the service, the appointment length or what someone should bring.

Avoid collecting a long personal history just because the booking form has room for it. Keep sensitive information out of ordinary appointment notes unless it is necessary and you have an appropriate way to handle it.

Keep the request attached to the chosen appointment

Consider this illustrative request for a first coaching session:

“I want to build a short movement routine I can fit into my workday. I can usually make time for 15 minutes at lunch.”

The customer then chooses 18 November 2026, from 10:00 to 10:45, Israel time. That date belongs with the request. The owner should not have to search an earlier message to discover what the customer wanted from the session.

If the customer changes the date, keep the relevant context with the new appointment. If they change the service, check whether the original question and answer still apply.

Make the confirmation useful to the customer

A confirmation should settle the practical questions: what is booked, when it happens, where to go and what to prepare. Here is sample wording for the appointment above:

Your first movement coaching session is confirmed.

  • When: 18 November 2026, 10:00–10:45, Israel time.
  • Where: Online, using the meeting link included with this confirmation.
  • Your focus: Building a short routine that fits into your lunch break.
  • Please prepare: A little clear space and a note of what you would like to get out of the session.
  • Need to change the time: Use the rescheduling instructions included with your booking, or contact the business through the stated support channel.

The actual confirmation needs the real meeting link or full address, any applicable preparation instructions, and the business's current change and cancellation terms. If payment is required, its status and any remaining amount should be clear too.

A request that still needs the owner's approval should say “Request received,” not “Confirmed.” Explain what the customer should expect next and give a response time only if you can meet it.

Give the owner the information needed to prepare

The owner needs the service type, confirmed time, customer name and relevant answer together. In this example, the useful preparation note is simple: the customer wants a short routine that fits a lunch break.

Keep necessary contact details available to the people handling the booking. Limit access to personal answers, and do not put private information into calendar titles that may be visible to a wider group.

There is no need to turn a short request into a diagnosis or a detailed profile. Preserve what the customer actually said. If something important is unclear, ask rather than assuming.

Check the booking from both sides

Before changing every appointment type, test one booking from start to finish. Submit the request, choose a time and read the confirmation as a customer. Then review what the person providing the service receives.

Check that the date, time zone and status match. Can the customer find the location and preparation details? Can the owner find the original request without another search? Test a reschedule too, so an old time does not remain beside the updated booking.

A useful booking leaves both people ready for the same appointment. For what happens after that first session, read Give people a reason to return.
